We have created some tutorials for you as an Admin and Manager roles that will guide you step by step. You will find a general description of each module for users here as well as detailed tutorials step by step how to use the software. There are some differences between the various systems depending on your type of industry. Settings

The settings is for admin only and it’s here you set default settings and much more. We will go through the various pages step by step.

Setting up the system for the first time?
For the very first time when will set up the system to fit your company, go to the Company Information.

Settings Menu

The Settings menu is located on the top right corner.

Select the Company Information.

Settings General

Here you will find most of the general settings for most of the modules.

Settings General (cont.)

Language, the default language of your system.
Date format, choose between US and European format.
Document type. Create a list of documents to be shown as a scroll down list in the User Profile. This will be shown when you want to add a document in your profile.

Courses

Gradings. Choose what type of gradings you would like to have for your courses.
Practical course field. In the Training Module, when you create a practical flight lesson, there are a number of fields instructor and student will fill out. Those fields may not correspond to your operation and type of training. Here you can de-select fields used in practical flight training.
Content type. When creating contents to be used in lessons you can tag those. By creating tags you can categorise lesson contents. It can be used to create other courses not to have to create contents twice.
Aircrafts. Default settings for aircraft used in your company.
Locations. Create a scroll list of default airports. Airports can be added manually for each flight.
Booking objects. Objects to be used for your booking module such as aircraft, classroom etc.

Users

Manage roles and user groups.

To add a user: Go to Users in the lower top menu. Select the +sign Add User.

Type in the email and name, a user will be created and an email with log-in instructions will be sent.

Note that email must be correct and cannot be changed later. If wrong email is entered, the wrong profile must be deleted and corrected with repeating the add User.

Roles and groups can be assigned to a user after the user has been created. You do not need to wait for any confirmation etc, you can as admin also access their profile once it has been created.

Settings Users

Manage roles and user groups.

Once a User is created you can assign various roles to users.

Admin: Full access to all pages and all settings.

Manager: Has right to: add users but can not delegate higher roles or create user groups. Can create courses and exams and assign to users. Can verify documents and plan actions of users. Can edit user profiles. Can access the General Settings where tags are created for courses and exams.

Instructor: Can assign students to courses and exams.

Create user groups

Create groups by +ADD GROUP.

Users can belong to multiple groups.

Reports

Create your layout of reports. Reports for deviation, company reports etc. Here you can change the name of fields.

Define your reports

Add Report Recipient, this is the persons who will receive all reports. Multiple recipients are possible.

Add Category, create a category for the report. Create a recipient for each category and multiple recipients are possible for each category. Those will only receive reports related to their category.

Report Fields, you can name the fields to fit your company.

Notifications

The system generates notifications by sending emails. Here you can change and define the recipients of the different types of messages.

Define your notifications

Notification categories, there are categories of notifications related to each module. For example examination category. Once an exam is completed or failed the system generates a notification email.

+ADD NOTIFICATION RECIPIENT, add as many recipients for each category as you want.

+ADD DEFAULT NOTIFICATION RECIPIENT, add additional recipients for ALL notifications. Admin will automatically receive notifications. Here you can add other recipients without giving them admin authority.

Dashboard

This is the start page. For admin this looks slightly different. Here you have some additional fields with notices.

On the top you will find the menu that will take you to each of the modules. On the top right corner you find the log out and language selection.

You can always go back to the Dashboard by clicking on the logo in the top left corner.

If you need any help, click on the “Help” located in the bottom right corner.

Personal notification board

Here you will find all new notifications such as new courses, exams and e-learning which you have been enrolled to. New events if any will also appear here.

My Bookings

Here you will find your own bookings. By clicking on the arrow it will take you to the Booking page where you can make bookings.

Aviation Weather

Select the airports you would like to view by clicking on the pen symbol. Enter the 4 digit ICAO airport designator, (not the 3 letter).

RSS Feed

To be able to get RSS feed from a news feed, find a RSS code, usually just google the news you would like to display,

example: RSS Feed CNN, a list from the CNN page for various RSS feeds are shown, just copy the link: http://rss.cnn.com/rss/edition_world.rss and place it in the field.

Unverified Documents

Whenever a user upload or change something in their profile except their personal details it will show up here.

How to verify documents
1. Go to the profile, easy access by clicking on the profile symbol

2. Open the document or check information that needs to be confirmed.

3. Click on the confirmation button. Your name and date will appear as well as a green mark.

Expirations

Whenever a document, certificate which is yours is about expire it will show as a notification here on the dashboard. The system will also send an email 3 months, 1 month, 1 week and when it has expired.

User Profile

This is your page. Here you will enter all your personal data, upload certificate etc.

To edit

As a general feature of the entire system, to able to edit mode simply click on the pen symbol.

Your personal information

Fill out your personal data such as address, phone number etc.

The personal ID is your national ID number, social security number etc. It is used to generate certain certificates. Some fields are required, if there are any fields that is not applicable just type any key.

On the top you have 3 selections, the first is account where this data is filled, the others are Settings and for the aviation app, Flight Experience. This may also be called Experience depending on which industry you belong to.

PIN Code
You must generate a 4 digit pin code, which you did the first time you logged into the system, if you would like to change it you di it here. The PIN code is used to verify practical lessons in the training module and it is you as a student that verify that you actually have attended the lesson.

Password
To change your log in password you change it here.

Groups
Groups are created by admin or manager. It is not editable for users but it shows which group you are dedicated to.

Upload documents

Simply click on the + sign. Type your document or select in the scroll-list if able. Select dates. If your document does not have an expiry date leave it blank.

Once you have entered or uploaded a file, picture etc the admin/manager will get a notice and it will be verified by the admin/manager. You will see the information in the field once it has ben verified and who did it. Any changes to your uploaded or entered information here must be changed or deleted by admin or manager.

Settings (Aviation only)

This is your default settings which will be visible when you log a flight.

Flight Experience (Aviation only)

Here is your flight experience. You can either log a flight manually or it will be added when you have completed a practical flight lesson.

The system allow you to enter flights from the past, enter the date when it was updated and the total time of each field.

My Courses

Here you will find your theoretical courses which are to be made in classroom and practical courses. The e-learning courses can be found under the tab e-learning on the dashboard or top menu.

The courses are either ACTIVE, INACTIVE or COMPLETED. An ACTIVE course is open now. An INACTIVE is a course which is delegated to you but you can not take the course right now. It will be activated either by an instructor or by a date selected by the admin/manager. A COMPLETED course is a course which you have completed successfully.

Access the course by clicking anywhere on the text.

Active course

A course can consist of both practical and theoretical. You can see the accumulated time for each in the top section.

By each lesson you can see your progress, if it’s completed, in progress or not started. If it shows that it is in progress it mean that at least one of the lesson contents are done or started but not the entire lesson. You can access each lesson by clicking on the lesson. This will allow you to see what you have done and what is next.

Print functions

You can print each page by clicking on the printer in the top right corner. Once a course is complete the print function will then allow you to print a complete training folder with Course Completion Certificate.

Enter Flight details for flight lesson

When you are entering flight details, the system will show you pre-selected aircraft to choose from. Only aircraft added by the admin/manager in the system will be possible to enter. Airports can be manually entered either by name or designators.

Block time is the time from engine start to engine stop (or rotor) and flight is the actual flight time. Flight time can not be longer than the block time. The blue arrows will allow you to fill the hours quicker.

My Exams

Here you will find your exams that has been assigned to you.

The exams are either ACTIVE, INACTIVE or COMPLETED. An ACTIVE exam is open now. An INACTIVE is a exam which is assigned to you but you can not take the exam right now. It will be activated either by an instructor or by a date selected by the admin/manager. A COMPLETED exam is an exam which you have completed successfully.

Access the exam by clicking anywhere on the text.

Reports

This is a report to file a discrepancy, deviation or something of interest to your company. The fields are created by your company and you select the area appropriate to the event. You can first save it, after it has been saved then you can send it. This will allow you to completed the report with uploaded files, pictures or more information etc without sending it. Once it has been sent you can see it also in the report list. Each report can be printed.

Logbook (Aviation only)

Here is your digital logbook, all flights from the training module is logged here as well as you can enter a flight manually.

Equipment

Here you keep track of all equipment, tools and other equipment that would like to have control over. The system will warn on upcoming expiry dates.

Color coding for easy status recognition. Green = ok, Amber= will expire within 3 months, Red= expired. You decide what will expire, whatever date you set is the date that will be shown as limit. It can be certification, service, overhaul, replacement etc.

Add equipment by cling on +ADD EQUIPMENT

You can upload files to each equipment.

Verify new documents or changed information for users

Any time a user is changing any data for a document or uploading something it has be verified. You as admin will see this on your Dashboard, go directly to the users profile. Check that the data inserted and open any upload file then click verify.

It will then appear a green arrow and your name and date when this was verified.

Users can only upload they cannot change or delete any data.

Plan action

A function is plan action. For every document that is added you can add a “Planned action”. This is to assist you with planning for your personnel. You can also see this in the crew or personnel status list.

Keep documents for history

To be able to keep all documents stored you can de-activate each entry. Even if you upload a new updated document of the same type the old one will still be there and as long as it is active it will show up on dash board and list of expired documents. By de-activate it it will no longer generate warnings and it will be removed from the lists.
